How we work together

From your request to the invoice

Every request you bring to Darvis becomes a task. On that task you see what is happening, what was solved and how much time it took. So you always know where you stand, on the invoice too.

Step 1

How your work is organised with us

Four building blocks: your company, a project, the task and the comments under it. Everything we do fits in that list.

Your company

Everything we do for you sits under your company, together with the agreements we made: by the hour, within a maintenance contract or at a fixed price.

Project

Larger work, such as a new website or an integration, is grouped in a project. That keeps the individual tasks of that job together.

Task

Every question, report or wish becomes one task. Your original email and any screenshots are attached to it, so nothing gets lost.

Comments

The conversation under the task. This is where you read what was done and how much time it took. Your emails and our replies sit side by side.

One task, one place. Everything about a request sits together: the report, the progress, the answer and the time. On the invoice you recognise that same task.

Step 2

What happens with your report

A task goes through four steps. At each step the status tells you where it stands.

Open

You report something

By email, phone, app or in a meeting. We turn it into a task straight away, so your request is in the queue instead of lost in an inbox.

In progress

We pick it up

Outages come first. If we agreed on a date, it is on the task. Questions we have along the way are asked on the task itself.

Waiting

Sometimes we wait

For an answer from you, from your hosting provider or from a supplier. The task stays visible and continues as soon as the answer is in.

Done

Finished, and you hear what was done

The last comment says in plain language what was solved. If you come back to it later, the whole history is still there.

Step 3

How the time ends up on your invoice

The time worked is recorded per task. What you are charged for it depends on the agreement that applies to the work.

Per task, in minutes

The time worked is recorded per task, in steps of 5 minutes. A short question takes a quarter of an hour, an outage usually half an hour to three quarters, development work half a day or more.

Short question or arranging access
10 to 15 minutes
Small change
20 to 30 minutes
Fixing an outage
25 to 45 minutes
Half a day of development
3 to 4 hours

A weekly invoice, readable per task

Every week you receive an invoice with a short description and the time for each task. Which agreement applies follows from our pricing and any maintenance contract.

By the hour
The time worked per task appears on the invoice at the agreed hourly rate.
Maintenance contract
The work falls within your fixed monthly fee. You still see what was done, without extra cost.
Not charged
Warranty, a small favour or goodwill. It is on the task, not on the invoice.

Step 4

The fastest way to get it solved

Three things that get a report solved sooner.

One question per email

Every email becomes one task. Two separate questions in two emails are finished sooner than one long email with everything in it.

Show us what you see

A screenshot, the error message and the moment it happened often save a whole round of questions.

Everything down? Call or message

For an outage that stops you working: call or message us and we look straight away. We create the task ourselves afterwards.

Reporting and following along

You report something by email or phone. Your current tasks and invoices are in your own environment.

A question or something to report?

Send an email or call. We turn it into a task and you hear what happens.
