Custom business software

Custom CRM development

A customer system that follows your sales process rather than the other way round. With the steps you actually go through, connected to your email and your accounting, and without a monthly fee per user.

A custom CRM is a customer system built around your own sales process, with your steps and your terminology. Darvis builds it with Laravel and connects it to your email, your quotes and your accounting package, so nothing has to be entered twice. You pay for the build and the maintenance, not a monthly fee per user: the system and the source code are yours.

Does this sound familiar?

Almost every business keeps customer data. The only question is where, and who can still get to it when that one colleague is away.

“Customer knowledge lives in someone's head”

Who last spoke to this customer, and what about? When that colleague is off, the conversation starts again from scratch.

“We pay for features we never use”

An off-the-shelf package charges per user per month for a module nobody ever opens, while the part you actually need is not included.

“Quotes are separate from everything else”

A quote is drawn up in Word, sent by email and then tracked by hand somewhere. Or not, and then you never hear about it again.

“Nobody knows what is in the pipeline”

You cannot see at a glance which enquiries are open, which are nearly closed and which have quietly stalled.

“The package forces us into someone else's process”

Your sales process runs differently from what the package expects, so everyone fills in the fields only halfway. After that, the reports no longer add up.

What is included

Your process, not a software vendor's

We build what you use and leave out what you do not. That saves screens, input fields and explanation.

Accounts and contacts

One place showing who your customer is, who at that company is responsible for what, and what has been agreed. Visible to everyone who needs it.

Your own sales pipeline

The steps you actually go through, with the names you actually use. No fixed funnel from a software vendor that your work does not fit into.

Quotes and follow-up

Create, send and follow up a quote from the same system, with an alert when nothing has happened for too long.

Connected to email and accounting

Correspondence ends up with the right account, and an accepted quote flows through to the package you invoice from. So nothing has to be entered twice.

If you want your customers to be able to look in themselves, we build a customer portal on top of it. If the need goes beyond sales alone, take a look at custom business software.

When a package is the better choice

Custom is not always the answer

If you sell a standard product through a standard sales process, an existing CRM is quicker and cheaper, and we will simply tell you so. Custom software only pays for itself when your process is different: when you work with costings, projects or recurring deliveries, when quotes need to come from your own product data, or when you want to connect the CRM to a system nobody else has.

In the first conversation we look at which of the two suits you. It costs you nothing and may save you a project you did not need.

How it works

From your sales process to a working system

We start with how an enquiry comes in today, not with a list of features.

1

Mapping your sales process

We go through how an enquiry comes in today and what happens after that. Not how it should go, but how it goes.

2

Design and quote

You see the screens and the steps, with a quote per component. That way you choose what goes into the first version.

3

Building and populating

We build the system and bring over your existing contacts from Excel, your email program or the package you use now.

4

Going live

Your team starts using it, and we keep an eye on things and adjust. Then we expand with whatever turns out to be missing in practice.

Frequently asked questions about a custom CRM

Why a bespoke CRM rather than an off-the-shelf package?

An off-the-shelf package is cheaper to start with and more expensive to make fit. If your sales process runs the way the package expects, choose the package. If your process is different, you will pay per user for years for something nobody works well in.

Can we bring our existing customer data with us?

Yes. We bring over accounts and contacts from Excel, from your email program or from the package you use now. That happens before go-live, so nobody has to retype anything.

Do we pay per user for the CRM?

No. The system is yours, so adding a colleague costs no licence. You pay for the build and then for maintenance, however many people use it.

Can the CRM be connected to our invoicing?

Yes. We connect with packages such as SnelStart and MKG, and with Microsoft 365 for email and calendar. An accepted quote then does not have to be entered a second time.

How quickly can we start working with the CRM?

We deliver in stages. The component that saves you the most time is often in use within a few weeks, with your existing contacts already in it. After that we continue building in consultation with you.

What happens to our data if we stop working with you?

It stays yours. The source code and the database are your property, you get access to the repository and you can continue with another party at any time.

Curious which packages we connect with? See the integrations we provide.

Where does your sales process get stuck?

Tell us how an enquiry reaches you. With no obligation, you will hear whether a package will do or whether custom software pays for itself.
